Data Protection & Privacy Policy

Any personal data provided by you to The Old Bank Wellbeing Trust Limited (‘the Trust’) through any means will be held and processed in accordance with the data protection principles set out in the Data Protection Act 1998 and the General Data Protection Regulation for the purposes for which you have given consent, to provide the services you have requested from us, and to meet the legitimate interests of the Trust.

Information about you

We collect personal information from you when you enquire about our services in order to set up your booking or arrange a suitable appointment. This information includes contact details, your availability and other relevant personal information and will be stored for securely for five years after your final session or last contact with the Trust.

When receiving counselling or supervision, your counsellor or supervisor may keep separate notes of your sessions which are not accessible to the Trust and will ask you for your consent to do this. These notes will not contain your name or any personal identifying information. Your counsellor or supervisor will store these notes securely for seven years after your final session after which time they will be securely destroyed.

We collect personal information when you join us as an employee or associate and throughout your time working with us. This information includes contact details, your availability and other relevant personal information and will include records related to your work with the Trust such as professional discussions, financial matters and CPD records. Information will be stored securely for seven years after your final session or last contact with the Trust.

When you enquire about receiving services from the Trust, or offering services to the Trust, we ask for contact details and relevant personal information from you that is needed to answer your enquiries and to keep you informed about upcoming events that may be of interest to you. This data is stored securely for as long as you agree to be kept informed of the Trust’s activities.

Our use of this information

Your personal information will be used only to provide you with our services and to give you information relating to our services. We will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, if there is a child or adult safeguarding issue, or a perceived risk of harm to self or others.

Security

We will take all reasonable precautions to prevent the loss, misuse or alteration of information you give us. Communications in connection with this service may be sent by e-mail. E-mail, unless encrypted, is not a fully secure means of communication. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects, we cannot bear responsibility for all communications being virus-free.

Your rights over your personal data
